How to Add Shared Documents (Practice Admin)

Learn how to upload documents like licenses, contracts, and W-9s to a Groover's profile, and see documents a Groover has shared with your practice.

Shared Documents keeps important paperwork for each Groover in one place: licenses, contracts, certifications and anything else you want on file. Each Groover can also see and upload shared documents with the practice.

UPLOADING A DOCUMENT TO A GROOVER'S PROFILE

Click on Groovers in the left-hand menu, then click the Groover's name to open their profile. Go to the Shared Documents section:

  1. Select the type of document from the dropdown (Contract, License, Insurance, Certification, Other), then click Upload.

  2. Select the file and upload. The Groover will be able to see it right away, with a "Shared by practice" tag.

  3. Add any notes you want your team to see alongside the file in the Internal Notes section above (these are not shared with Groovers).

VIEWING DOCUMENTS A GROOVER HAS SHARED WITH YOU

Groovers can also upload their own documents directly to your practice. Those will show up in the same Shared Documents section with a "Shared by groover' tag, so everything you've exchanged with the Groover lives in one place.

WHO CAN SEE THESE DOCUMENTS

A document you share is only visible to you, other admins at your practice (plus any group-level admins whose access covers your practice, if you are part of a group), the relief doctor the file belongs to, and a small number of Hound staff who administer the platform. Shared documents are kept in a private storage that's encrypted in transit and at rest, hosted in the U.S., and there's no public or shareable link.
