As a Practice Admin, you can invite all your Groovers to connect with your practice (and all locations), so that they can see all your relief shifts. You can also categorize them by worker type (W2 or 1099), add internal notes and tags, and upload documents that only your team can view.
1. VIEWING YOUR GROOVER ROSTER
Click on Groovers in the left hand menu bar. Your Groovers page is organized into three tabs:
Available: Groovers who have accepted your invite and can all see your shifts, unless you limit the visibility of specific shifts.
Invited: Groovers who have been sent an invite but haven't accepted the invitation or logged into Groove. These Groovers cannot see your shifts.
Removed: Previously connected Groovers that you've removed.
2. INVITING A GROOVER
On the Groovers page, click Invite Groover in the top right corner. In the invitation form, enter their first name, last name, email and phone number. Select the worker classification, then click the Invite button.
They'll receive an email invitation from Groove with a magic link to join Groove and connect to your practice. Groovers will stay in the Invited tab until they accept their invitation or log in, at which time they'll appear in the Available tab.
If they haven't responded, you can resend the invite by clicking the "Resend" button on their Groover card.
3. VIEWING A GROOVER'S PROFILE
Click any groover's name to open their full profile. You'll see all profile details they've added, including:
Profile photo, contact details, your practice(s) they're connected to
Bio, years of experience, relief experience
Species treated, specialties
Licenses and certifications
Worker classification
Shift ratings, feedback and metrics from past shifts
Internal notes and custom tags (visible only to your practice)
Documents that you, your team or the Groover uploaded (visible only to your practice and the Groover) like W-9s, contracts, licenses
4. ADDING INTERNAL NOTES
Internal notes are private to your practice and are a great way to capture context about a groover. Open the Groover's profile, go to the Internal Notes section, and add a note. These notes remain even if a Groover is removed and re-invited.
5. UPLOADING DOCUMENTS
Store W-9s, contracts, and licenses directly on a Groover's profile. Open their profile go to the Shared Documents section, select a document type and then click Upload. Supported file types include PDF and images.
