Chatting with Candidates: How Do I Message Candidates?

Everything you need to know about sending messages to candidates and best practices for proactive recruiting.

As an employer using Scout, you can send chat messages to job seekers and relief professionals through a few different scenarios. We'll walk you through all the various ways you can use our chat feature.

  1. When they inbound apply to a job you posted (only available to Scout premium users).

  2. When they inbound apply to a relief shift you posted (available to all users).

  3. When they view or follow your practice, you’ll receive an email notification once this happens (only available to Scout premium users).

  4. When you’re actively searching, qualifying, and recruiting candidates by using our candidate search filters (only available to Scout premium users).

You can navigate to your messages area anytime by clicking on the chat icon on the left-hand menu bar. From your messages page, you can see all your new incoming and outgoing messages, see message read receipts, search messages by name and any corresponding job applications, and archive old messages.

💡 Proactive recruiting is a best practice for staying competitive in today’s veterinary talent market. Responding quickly to job applications and even job views shows candidates you’re engaged and serious - often making the difference between landing top talent and losing them to a faster-moving competitor.

1. Messaging candidates who applied to your job(s)

(Only available to Scout premium users)

You will see all candidates who applied to or viewed your jobs on your Notifications page (in real time) and on your Connections page (by clicking on Candidates > Connections). Clicking on the notification will open the candidate's profile card, where you'll see a "send a message" button. You can also click on the "message" button on each candidate's profile card.

2. Messaging candidates who applied to your relief shift(s)

(Available to all users)

Similar to job applications mentioned above, you will see all candidates who applied to or viewed your shifts on your Notifications page (in real time) and on your Connections page (by clicking on Candidates > Connections). Make sure to toggle your connections to "shifts" to filter by shift applicants only.

From your Candidates > Connections > Shifts page, you'll see all Views and Applications to your shifts. Clicking on the "review" button on the candidate's profile card will open the Shift Applications Review popup.

On the Shift Applications Review popup, you can check any messages included from the shift application, approve/reject the application (to start the shift booking process), or send messages for free.

3. Message candidates who view or follow your practice

(Only available to Scout premium users)

You will receive an email notification and product notification (on your Notifications page) every time a candidate views your job or shift postings, and whenever a candidate follows your practice. From your Notifications page, simply click on the notification to open the candidate's profile card. Clicking on the "send a message" button will start a new chat.

4. Messaging candidates proactively by using our candidate search filters

(Only available to Scout premium users)

You can search unlimited candidates and send messages by using the candidate search bar at the top of the page, or by navigating to the Candidates page by clicking on the left-hand menu bar.

From here, you can toggle between all workers, relief workers, and your Connections and use the search filters to further refine your results.

Each candidate's profile card has a "message" button, which starts a new chat with the candidate.

After you message a candidate, they will now appear on your Connections page under the "Messages" section, so you can easily keep track of which candidates you've (or your team) have messaged.
