Chatting with Candidates: How Do I Message Candidates?

Everything you need to know about sending messages to candidates and best practices for proactive recruiting.

Employers can send chat messages to job seekers and relief professionals through a few different scenarios:

  • When they inbound apply to a job you posted (available to all users).

  • When they inbound apply to a relief shift you posted (available to all users).

  • When they view or follow your practice, you’ll receive an email notification once this happens (only available to Hound Recruiter and Recruiter Pro subscribers).

  • When you’re actively searching, qualifying, and recruiting candidates by using our candidate search filters (only available to Hound Recruiter and Recruiter Pro subscribers).

Access the Candidates page

  1. Click Candidates from the navigation bar to view all potential candidates available for your open positions.

2. Use the all workers or relief workers tabs to search by worker type, or use the search filters to narrow results even further. The all workers page includes all visible candidates on the platform (permanent and relief), while the relief workers page includes candidates interested in relief.

3. On the relief workers page, each candidate's profile card will include a tag specifying whether they are open to relief or relief only (not interested in permanent work).

4. Click on any candidate tile to open it and learn more about their preferences and experience. Use information here to curate your message to this candidate.

5. Hover over any candidate card and click the "message" button that appears to send them a message.

7. You can also click the message icon at the top right corner of any candidate profile. Some profiles will also have a resume uploaded in this section, which you can click to download. Note the resume download limit is 10 unique resumes/day (except for enterprise and custom contracts).

8. To view your sent messages and responses, click on the messages icon at the top right corner of any page, beside your profile icon.

9. Click any candidate to open your chat with them. You'll notice a checkmark next to your sent messages. A grey checkmark means it was unread, a green checkmark means the message was read.

10. Use the blank message box to begin your message to the candidate. Keep in mind you can use information from their profile to curate your message.

11. For help with your message, begin typing, then click the enhance my writing bubble for AI assistance. Please make sure to proofread and remove any prompts, before hitting send.

12. Click on the candidate's name to view their profile.

If they applied to any of your jobs or relief shifts, you'll see this in the bottom green bar of their profile. Click on the job or shift to see more details. You'll also see any recent messages sent or received here.

13. Use the search by name feature to quickly locate a specific candidate within your messages.

Organize and filter messages by active or archived

14. To archive a message thread, click the three dots in the top right corner and then select Archive.

15. After you click Archive, this message will be moved to your Archived folder. You can switch between your Archived and active chats by clicking the three dots in your main Chats panel.

16. From your Archived folder, click the arrow to navigate back to your main Chats.

Messaging candidates who applied to your relief shift(s)

(Available to all users)

17. You can start a free inbound chat with candidates who applied to your relief shifts. Navigate to your Connections page, then click on the Shifts page. Scroll down to the Applications section.

18. Hover over the candidate card and click "review" button. This will open the Shift Applications Review popup. If the candidate included an application message, it will appear below the shift details.

19. You can also click on the candidate profile directly and scroll to the bottom where all job and shift applications are shown. If you have a shift application to approve, it will be shown in yellow.

20. On the Shift Applications Review popup, you can check any messages included from the shift application, approve/reject the application (to start the shift booking process), or send messages for free. Chatting with shift candidates is free and does not require a subscription.
